Remote, NZ preferred (Wellington) or East Coast Australia | 15 hours per week

Kia ora, I'm Jeremy. I've spent over 25 years helping people become the leaders they want to be in New Zealand and abroad, across public and private sector, from start-ups to multinationals. These days my work centres on culture, feedback and leadership development, through facilitated sessions and longer coaching programmes for organisations across New Zealand and Australia, with a strong footprint in the public sector.
The thing that makes the difference, for me, is whanaungatanga. Leaders who build it get teams that thrive, and that's the thread running through everything I do from how I design a session to how I run my own practice.
WHY THIS ROLE EXISTS
Right now I'm in growth mode: fewer, bigger, longer engagements, and finally making progress on the book I've been writing.
You'll own the connective work: the sales pipeline, client experience, marketing coordination, and my calendar and inbox. Done well, clients feel like they're in a relationship with the practice, not just exchanging transactional emails, and we're a few steps ahead of things rather than reacting to whatever's landed that day.
You take initiative without waiting to be asked, recommend a course of action rather than sitting on it, and pair that with good judgement rather than saying yes to everything. This works as a partnership rather than a reporting line where I'll bring you into what I've committed to outside client delivery, like the book I'm writing, and expect you to hold me to it. We sense-check decisions with each other and keep each other briefed along the way.

WHAT YOU'LL OWN
Client experience & retention: onboarding, session logistics, and bringing my attention to any client who’s gone quiet
Business development & sales pipeline: keep the CRM and proposals moving from first enquiry through to signature
Marketing, content & brand: the newsletter, repurposing content for LinkedIn, and keeping service materials current
Energy, email & calendar management: protect my calendar and inbox, and lead the weekly planning meeting
AI systems & operations: keep our project management system and SOPs current, and use Claude well for triage and drafting
Finance, compliance & administration: invoicing, Xero, and vendor administration
WHO YOU ARE
You've got solid experience as an executive assistant, office manager, virtual assistant, business/practice manager, or experience in the retail or service industry, ideally in a role where client relationships were a core responsibility, not a secondary one. You're comfortable resolving things directly by phone with clients or suppliers rather than defaulting to email. You're comfortable across Viveka (built on GoHighLevel), Trello, OneDrive and Google Drive, Xero and Zoom. And you're a confident Claude user with a willingness to lean into AI.
Beyond the experience:
You lead from the front. You make recommendations and take considered action rather than waiting to be told.
You hold things lightly. Once a mistake's fixed, there's no need to dwell on it.
Your warmth comes through in writing, not just on the phone. Clients notice it.
You prioritise deliberately. Not everything can be actioned in a given week, and you know which things matter most.
You're learning-agile. New contexts, including the public sector, don't need to be familiar before you can pick them up.
You care about the wider difference the practice makes, particularly within New Zealand.
