Seeking a Forward Thinking Business Manager for a Thriving Coaching Practice

A successful facilitator and coach is looking for a Business Manager who can proactively manage project capacity and workflow, while understanding the unique working style of a neurodivergent thought leader.
About this opportunity
This business is deliberately structured around deep work blocks of 15-18 client hours weekly plus focused time for admin and growth initiatives. With a fast-paced, organised working style, the challenge isn't productivity but energy management and sustainable growth.
The role: Business Manager (8-12 hours/week, Remote)
This isn't about administrative support. It's about true energetic alignment. While this role will start at 8-12 hours, with your support, we anticipate it growing to 20 hours in approximately 6 months, at which time an employee arrangement and transition would be considered for the right candidate.
The right person will work towards the following outcomes across various projects:
Manage pipeline and business operations
Track prospects and clients with forward-looking capacity planning
Maintain project timelines and milestone tracking
Support client administration
Prepare proposals, handle invoicing and payment tracking
Manage expense tracking and workshop coordination
Create and maintain automation for routine processes
Coordinate marketing activities
Create visual assets and coordinate content across platforms (especially LinkedIn)
Research podcast and speaking opportunities (1-2 pitches monthly)
Manage newsletter publishing and CRM health
Manage communication flow
Triage inbox and draft responses as needed
Flag priorities and manage follow-up communications
Maintain consistent voice across all communications
Support project management
Break down big ideas into actionable steps
Maintain visual tracking systems
Provide accountability and deliver without requiring reminders
Who you are:
A systems thinker who designs intuitive workflows and optimises processes without prompting
Technologically proficient with CRMs (GoHighLevel, Hubspot or Zoho preferred), Asana, Canva, G-suite, Stripe, ScoreApp, and LinkedIn
Experienced with project management methodologies
Direct communicator who provides clear feedback
Understanding of energy management and neurodivergent working styles (AuDHD)
Values depth over small talk and brings authenticity to your work

The details:
8 - 12 hours per week, scheduled by you between Monday & Thursday 8am - 6pm AEST/AEDT
Contractor role, must have own ABN and insurance.
Fully remote (Australia or New Zealand preferred).
Pay rate: $45-$55 AU per hour, plus super, based on experience. Invoiced monthly for hours completed.
